Last year we learned a lot, and ask that you thoroughly read through this year’s guidelines.
Harpors Vineyard cannot be held responsible for any injury to client or vendors while on premise.
Arrival: vendors are welcome to arrive as early as 9AM but must be setup no later than 10:45 AM.
Weather: as noted, this event is outdoors. Please dress appropriately. Heaters are not permitted for use due to the electric load in combination with all of the other components of the day. Bathrooms and the kitchen are the only areas that are air controlled.
There will be no refund for this event for any reason, including weather. All revenue collected goes towards advertising and is spent prior to this event. If for any reason you feel weather, or any other issue will prevent you from attending, please reconsider being a vendor at this Expo.
Feel free to bring your own food, we will have our kitchen available for you to place items. Also note, we will work to secure a food truck that is selling food, as well as an ice cream truck vendor for purchase if you are interested.
Email/data collecting: we will not be collecting any lists, registration, guests names or other types of data from our guests. To obtain information, please be proactive at your booth and prepared to collect this information.
Leaving early: leaving early is not permitted.
A DJ will be playing music throughout the event, all competing music/sound is kept to a minimum to provide the best experience for everyone. We will keep the music at an appropriate level to allow great conversations between you and your potential clients while providing great energy and atmosphere with music.
In the event of inclement weather, we may need to be flexible and adjust positioning of booths so everyone is as comfortable as possible. Please be flexible and considerate as we work with you to help accommodate each and every vendor.
It is recommended that you bring a 20ft electric extension chord that is outdoor rated. Please note we will not be providing any chords but will have electrical outlets for those of you that are under the barn and deck. Tents and booths outside of the barn and deck areas will likely not have electric.
We have designated greeters at the Expo with welcome packets that include layouts and other directions for the event. We will not be offering a raffle or doing vendor handouts at the door, please utilize your space to do such activities. This year, we will allow vendors to offer a promotion exclusively for Harpor’s Vineyard couples only. If you offer a special discount, we will have your business name printed on the brochure noting that you offer a special discount. Please make sure you selected this option when registering.
Each vendor will have approximately 8ft of space plus a few feet for moving around. If it doesn’t fit on the table or below it, it’s more than likely too big. Please plan your booth space accordingly.
Harpors Vineyard reserves the right to cancel any vendors contract and refund all money collected for any reason.
No inappropriate signage, displays or media sources should be present. Harpors Vineyard reserves the right to remove a vendor at any time during the event for any reason, and will refund all money collected within 7 days of the event.
At times, especially in the Spring, it can become very windy. We recommend you consider this when working with your booth.
Parking is in the open field just past the end of the gravel drive. We expect everyone to be showing up around the same time so we ask that you carry your items rather than block the driveway. If you need help, just ask 🙂
The layout and specific booth placement will not be sent out until the previous weekend.
We are not capping specific categories this year. If this is an issue, we understand, please bypass this event. We will not be closing registration until the weekend prior. The number of vendors and their specific category will not be known until that time. Please note, despite the number of vendors, we will provide roof covering for all vendors.
We appreciate all of you so much for being a part of this event. It’s very important for us to connect with you during the day and make sure everyone has the most success they can.
